Along with the board meeting agenda, our meetings are structured around a central Google Slides ("Slides") presentation that integrates individual slide decks from each presenter. To facilitate the success of our presenters and ensure a seamless progression of the meeting, we've established a set of guidelines designed to enhance presentation effectiveness and meeting efficiency.
You may either create your presentation directly in the central presentation slide deck, or create your own slide deck to be imported at a later date.
If you need help using Slides, Google provides extensive how-tos on their support website. If you have further questions, please submit a help desk ticket and we'll do our best to assist you.
Deadlines
- If you use Google Slides, the presentation is due no later than 12pm PST the day of the board meeting. ➡️ However, once we import your slide deck into the Central Presentation, you can edit your slides right up to the moment you present! ⬅️
- If your presentation is in PowerPoint or PDF format, it is due no later than 12pm PST the day before the board meeting in order for the IT Department to verify the correct formatting with you.
Creating your presentation directly in the Central Presentation (recommended)
When you submit agenda items involving a presentation, you will be sent a link and added as an editor to that week's central presentation. There will be a placeholder for you to know where to put your slides.

Creating your own slide deck
If you choose to create your own slide deck rather than create your slides directly in the central presentation, here are the methods to do so:
Using Google Slides and giving us edit access (recommended)
To ensure that all formatting, images, and animations match your original intent and design, we highly recommend creating a slide deck in Google Slides. This requires a Google account, which is given to all JESD employees in the form of a Google @ JESD account.
If you are not a JESD employee, you can use a free personal Google account to access Google Slides.
Once we receive your Slides presentation and import it into the Central Presentation, we will alert you via email in case you need to make edits to the slides.
Test importing a Microsoft PowerPoint presentation file
Slides does include limited Microsoft PowerPoint compatibility, but it is not perfect. If you have a slide deck with animations and/or video that you've used in the past and you'd like to make sure it displays the way you expect it to, please send us your PowerPoint presentation file by the deadline so we can test it and have you make any necessary adjustments.
Using Canva, PowerPoint, Keynote, or other presentation software and exporting as static image files
If Slides isn't an option for you or your imported PowerPoint presentation doesn't look the way you want it to, you must export your presentation as static images (.JPEG, .PNG, or .TIFF), which we will then place in the Central Presentation. Please note that this will not include any videos, animations, or links you've included in your presentation.

- To export Canva slides as static images, click File > Download, select "PNG" as the File type, make sure "All pages" is selected, and click Download
